A lack of clarity

Discussing  with our customers, we found that there was an in depth challenge to effectively assign people to roles.

It was not clear within the organization how many actual resources and efforts there were within a role.

In an agile organization, people usually fill one or more roles and organize their time as they wish. Thus, it makes it quite difficult to assess the resources and energy that are actually put on each role of the organization.

For example, there are 4 people within the role Marketing. Among these 4 people, they spend less than 10% of their time in the role. At the end, it represents less than a Full Time Equivalent energizing the role. How could we figure that out if no ones communicate on the time they spend in the role?

You can see how that might be problematic, especially in human ressources that needs to manage training, coordination, recruitment - and for the role in charge of assignation who handles role allocation within his team.

With  Time Spent in Roles, organizations can assess the number of Full Time Equivalent there is in each roles of the organization.

Time Spent in Roles allows:

  • Users to enter the approximate time he/she spends in each of their roles.
  • Members of the organization to have information on the number of FTEs (Full Time Equivalent) involved in each role of the circle.
  • Role in charge of the assignment within the circle to promote the role in a marketplace to invite other users to come and fill it.
  • Administrators to export this data in Excel.

You can use this new insight to understand and assess the resources involved in the roles, so you can assign members to the role that need the most resources.

Members of the organization can enter the estimated time they spend in each of their roles in the dedicated app. This information is translated into a Full Time or Part Time based on the number of days worked per month.

This new data is displayed on the page of roles and circles. All members can access this data to better understand how many hours are allocated to the role or the circle.
